Edit Shopify CSV in Excel or Google Sheets Without Data Loss
Excel and Google Sheets are useful editors, but a CSV round trip is not guaranteed to preserve every field byte-for-byte. Spreadsheet programs can infer number types, reformat dates, drop leading zeros, or change row order. Shopify also warns that sorting can detach product image links from their intended records.
Example: why this problem happens
A merchant opens a Shopify export in Excel, sorts by product title and saves it. The file looks cleaner, but the original variant and image rows are no longer arranged as expected, causing surprising results on import.
Diagnose the issue
| Potential change | Affected field | Safer approach |
|---|---|---|
| Leading zeros removed | SKU or barcode | Set the column to text before importing the CSV. |
| Rows reordered | Handles, variants, images | Preserve product groups and related row order. |
| Locale decimal changed | Price | Inspect values as raw CSV text before upload. |
| Unicode damaged | Title or Description | Export as UTF-8 CSV. |
Step-by-step: what to do
- Save the original Shopify export as an untouched baseline and work on a copy.
- Open the file using an import dialog that lets you explicitly choose delimiter, UTF-8 encoding and text data types for identifier fields.
- Avoid sorting rows that represent multiple variants or images unless you can reconstruct the correct product grouping afterwards.
- Change only intended columns. When editing SKU or variants, preserve dependent option columns and confirm product handles.
- Export as UTF-8 comma CSV. Review several raw text lines—including non-English text, prices and leading-zero identifiers—before the store import.
- Test a subset before any overwrite and compare resulting products, images and variant identifiers against the backup.
A CSV is plain text and cannot store spreadsheet formulas, formatting or workbook tabs. Exporting a complex workbook to CSV preserves only the chosen sheet's rendered cell values, subject to conversion behavior.

Common question
Should I use Google Sheets instead of Excel?
Either may work when properly configured. The important controls are export encoding, field types, quoting, and preservation of dependent rows.
