Shopify Inventory CSV for Multiple Locations: Safe Update Checklist
Shopify has distinct inventory CSV formats for different stock update workflows. The All states format provides separate rows per location and exposes quantity states; the Available format can show each location as a column. Neither format should be confused with a product CSV, even when both contain handles and option values.
Example: why this problem happens
A merchant wants to increase stock at the Ottawa location without changing New York quantities. They upload a simplified spreadsheet with only a handle and stock number, but the inventory importer cannot identify the intended location or variant reliably.
Diagnose the issue
| Inventory export style | Layout | Operational consequence |
|---|---|---|
| All states | Rows per location with inventory states and On hand (new) | Provides stronger protection against unintentional overwrites. |
| Available | Location names as separate columns | Simpler for basic updates but offers fewer safeguards. |
| Product CSV | Catalog/variant fields, not the same location update schema | Do not treat it as a location-level stock template. |
Step-by-step: what to do
- Export inventory from Shopify's Inventory page using the same format you plan to import.
- Keep exact location names. Shopify states that location names are case sensitive; compare with the store's actual configured values.
- Preserve product handles and option-value columns that identify the intended variants. If products have second or third options, include the corresponding values.
- Update only the intended location's quantity cells or On hand (new) values according to the selected export format.
- Check untouched location rows, test a limited import, and reconcile post-import on-hand quantities.
The SellerFile Studio product CSV checker does not validate stock states, location assignments or inventory import semantics. Do not use its 'clean CSV' result as approval to adjust multi-location inventory.

Common question
Do I need the product CSV to update only quantities?
Generally use Shopify's inventory CSV for location-level quantity work, following the format exported by the store.
